KTEMB 2027 DIARY AND PROMOTIONAL PEN PRODUCTION – TECHNICAL SPECIFICATIONS

Production of 2027 Daily Diary and Promotional Pens
1. Technical Specifications of the Diary
i. Size: 17 cm x 24 cm
ii. Advertisement Pages (Front Section): 40 pages, 150 gsm coated paper, full-colour printing.
(This number is estimated. In the event of any change, the final payment will be adjusted according to the actual number of pages produced, on a ± basis.)
iii. Technical Information Pages (Front Section): 112 pages of black-and-white printing on Ivory paper, plus a 2-page combined, fold-out colour map.
iv. Diary Inner Pages: Ivory paper, daily-use format, lined, 316 pages in total, with Saturdays and Sundays arranged on a single page.
v. Cover: Concealed spiral binding, thermo leather, with the inside covers lined with interlining fabric in a colour matching the diary.
vi. Cover Printing: Embossed (debossed) printing.
vii. Cover Colour: Grey tones.
viii. Pen Holder: A vertical pen compartment (pen pocket) shall be integrated into the front cover of the diary without compromising the overall visual integrity of the cover design. The pen compartment shall be manufactured using the same colour and material characteristics as the cover and shall securely hold the promotional pen by means of an elastic securing band. The pen compartment shall form an integral part of the diary design and shall not appear to be subsequently glued or externally attached.
ix. Quantity: 1,000 (One Thousand) units
2. Promotional Pen Specifications
i. The pens shall be high-quality, durable, grey-coloured, suitable for daily use, and shall be first-quality ballpoint pens with a blue Parker refill.
ii. The pen body shall be manufactured with a rubber-coated body and metal components.
iii. The name KTEMB (Turkish Cypriot Electrical Contractors Association) shall be printed on the pens in a single colour (black), using an appropriate printing technique.
iv. The printing shall be permanent and shall not fade or be erased during normal use.
v. The pens shall be delivered complete together with the diaries.
vi. Quantity: 500 (Five Hundred) units
3. Other Conditions
i. The production of the diaries and the design and page layout of the advertisements to be included in the diaries shall be considered as one integrated service. The contractor shall undertake the graphic design of the content provided by advertisers.
ii. Graphic design services for full-page, half-page and quarter-page advertisements shall be included in the quoted price, and this shall be clearly stated in the offer.
iii. Offers shall be submitted in Turkish Lira (TL) and shall be exclusive of VAT. Separate pricing shall be provided for the pens and diaries. Payment terms shall also be clearly stated in the offer.
iv. Offers shall be submitted electronically to [email protected] no later than Tuesday, 1 September 2026, at 16:00.
v. During the evaluation of the offers, samples may be requested from bidders if deemed necessary.
vi. The diaries and promotional pens shall be delivered in full to the KTEMB headquarters in Nicosia no later than 1 December 2026.
4. Notes
i. Offers that do not comply with the provisions of this technical specification shall not be considered.
ii. Upon request, bidders may examine a diary of a similar design and obtain details regarding the required pen.
iii. A contract shall be signed between KTEMB and the successful bidder.
iv. The quoted price shall include all costs, including design, printing, production, packaging, transportation and delivery.
v. Offers for the pens only or the diaries only shall also be accepted. All terms and conditions shall apply equally in such cases.
