KTEMB UNION BUILDING PROJECT – PROPOSAL AND SERVICE TERMS
1. Discipline-Based Pricing
The proposal shall be prepared separately for the following three disciplines:
• Architectural Project (including furnishing)
• Structural (Static) Project
• Mechanical Project
2. Area-Based Pricing
For each discipline, proposals shall be submitted for the following two area sizes:
• 2400 m² (3-storey building)
• 700 m² (single-storey building)
• 3D visualization services shall be priced separately.
3. Contract and Author Rights Transfer
A project contract and author rights transfer form will be signed.
4. Obtaining Institutional Opinions
The bidder shall be responsible for obtaining the necessary feedback and approvals from all relevant authorities and institutions such as the Department of Urban Planning, Municipality, Department of Telecommunications, KIB-TEK, Highways Department, Fire Department, and others.
5. Building Permit Process
The architect will follow up the building permit procedures, and the service will be considered complete upon the issuance of the permit.
6. Project Visa Fees and Charges
All fees, taxes, and charges required for project approval (visa) shall be covered by the respective project author.
7. Quantity Survey and Tender Documentation
All prepared projects will include detailed quantity surveying, material lists, and both administrative and technical specifications. They shall be submitted in a format suitable for tender documentation.
8. Supervision Services
Supervision (control) fees shall be specified in the proposal. Supervision services shall be carried out actively and regularly, with necessary on-site inspections throughout the implementation phase of the project.
9. Revision Policy
If needed upon project completion, revised drawings will be prepared for all disciplines and re-submitted for approval.
10. Completion of Work
Upon completion, project completion forms will be filled out and final approval will be obtained from the municipality.
11. Digital Delivery Format
Projects shall be delivered in 3 printed sets and in digital formats including AutoCAD, PDF, and Excel (.dwg, .pdf, .xls, etc.).
12. Meetings and Coordination
The first meeting between the project team and the Union representatives shall be held within 2 days after the contract is signed. All information and organization will be coordinated.
Once the drawing phase begins, at least one weekly meeting between the project team and the Union will be held to adjust functions based on decisions made, discuss necessary details, and ensure coordinated project progress.
Drafted projects will be reviewed in these weekly meetings, and required adjustments will be made.
13. Logistics and Timeline
a- Location of Service Delivery: The service will be delivered in Nicosia. The site is located within the KTEZO Nicosia Industrial Zone (Kızılbaş).
b- Start Date and Implementation Period: The anticipated start date is the date of contract signing. All project deliveries shall be completed within 60 calendar days.
14. Requirements
The proposing project team is responsible for providing all necessary equipment (computer, printer, etc.) using their own resources. All project prints shall also be done using their own facilities and submitted to the Union.
All efforts must be made to ensure timely project completion by showing maximum diligence during the processes of obtaining approvals from relevant government units and professional chambers.
